Screenshots and session recordings routinely capture personal data outside your usual retention controls. Here's how to bring that channel into scope.
The visual evidence problem in support
In modern customer and IT support operations, text descriptions are often not enough — agents ask for screenshots, screen recordings, or remote-control sessions to diagnose a problem. Each of these can capture far more personal data than the support ticket itself: an open inbox in the background, a payment form mid-entry, a colleague's name in a chat window.
Because this content arrives as an attachment or a session log rather than a structured field, it rarely passes through the same retention, access-control, or classification rules that govern your primary databases — which is exactly why it deserves separate attention under Section 8 of the DPDP Act.
Where this data actually ends up
Screenshots attached to tickets typically live in your helpdesk platform's file storage, which may have a different (often longer, sometimes indefinite) retention default than your core application database.
Screen recordings from remote support tools are frequently stored by the vendor, not by you — meaning a fourth party may hold personal data captured during a session, without a clear line of sight from your own data inventory.
Practical steps to bring this into scope
Add 'support attachments and session recordings' as an explicit row in your Personal Data Inventory, naming the specific storage location and retention period, rather than assuming it's covered by a general policy statement.
Set a short, explicit retention period for support attachments — most resolved tickets do not need screenshots retained beyond the incident lifecycle plus a short audit window.
Confirm your remote-support and helpdesk vendors are under a valid Data Processor contract with security and erasure obligations that mirror your own, consistent with Section 8(2).
Train support agents to redact or crop visible personal data unrelated to the reported issue before attaching a screenshot to a ticket, as a data-minimisation habit.
